Each client is a business on the Businesses page, with its own receptionist, phone number, team and dashboard on your address. Owners and admins create businesses and invite their owners. Everyone on your team can open a business to set it up or support it, and the business’s audit log records each time they do.

Create a business

You need your dashboard address before you create a business, because the business opens only on your addresses. Signup gives you one, as Sign up as a partner describes.
1

Open the form

On Businesses, click Create business.
2

Describe the business

Enter the Business name, the Owner’s email and the Time zone. The time zone starts at your browser’s, so change it when your client is elsewhere.
3

Choose what its team can use

Under What their team can use, pick Full access or Activity only. See Choose an access level.
4

Choose how it pays you

Under Billing, pick one of your packages, or You bill it yourself. The field appears once the dashboard can take payments for you. See Bill your businesses with packages.
5

Start from a template (optional)

Under Template, pick a saved setup, or leave No template. The field appears once you’ve saved a template. See Reuse a business setup with templates.
6

Create it

Click Create and invite. The business appears on the page, and its owner gets an email from you with a link to sign in.
The owner’s email must belong to your client: someone on your team can’t own a business. A business that already pays LobbyStack directly can’t move under your partner, so create a new business for that client.

Choose an access level

The access level sets what the business’s own team can use in its dashboard. You choose it when you create the business, and you can’t change it later in the console: At either level, the business’s team sees its usage this month, and its owners and admins pay you from Settings > Billing.

Invite the owner

The invitation email goes out under your name and links to your subdomain. The link works for 7 days. Until the owner accepts, the Owner column shows Invited, then Invitation expired after the 7 days. What the owner sees next depends on the business’s billing:
  • On a package: the link names the package and its minutes and chats, and opens a Stripe checkout on your account. After paying, the owner signs in or creates an account. If your payment account can’t take payments yet, the owner signs in first and pays later from Settings > Billing.
  • You bill it yourself: the link goes straight to sign-in.
Onboarding then asks the owner to verify their phone. Calls forward to that phone when the business has no transfer number and runs out of minutes. Share Use the receptionist a partner set up for you with your clients.

Open a business to support it

Click Open on a business’s row to work inside its dashboard, on your address. Opening a business from app.lobbystack.com takes you to your address, where you sign in again. Inside the business, you get full access whatever its access level: the receptionist, knowledge, team, phone number and integrations. Billing, API keys and MCP stay closed to your team. You can open a business before its owner accepts the invitation, so you can set up the receptionist first. Your access to a business you opened lasts 8 hours, and opening it again starts the 8 hours over. Opening a business doesn’t add you to its team, so its team list shows only the business’s own people.

What the audit trail records

Each time someone on your team opens a business, its audit log gets an entry. The entry names who opened it and their role, with when the access started and ends. The audit log also records when your team creates the business, saves its setup as a template, changes its package or overage, or releases it. Removing someone from your team ends their access to every business at once. Releasing a business ends your whole team’s access to it.

Give the business a phone number

A business gets its phone number in its own dashboard, under Settings > Phone Number. Its owners and admins can claim one at Full access, and so can anyone on your team who opens the business. The owner has to finish onboarding first. Until then, the page says Phone numbers aren’t available for this business yet. Your tier sets how many numbers your businesses hold between them. On Free, a business can claim your one trial number. See Phone numbers on each tier.

Follow each business’s usage

The Minutes this month and Chats this month columns show what each business used since the 1st of the month. Owners and admins also see a Billing column with each business’s package and payment status: Under the package, the column sums up the business’s overage, such as No overage or Overage, no cap. To change a business’s package or overage, click Change beside it. See Change the package a business pays for and Set overage for a business.

Release a business to its owner

Releasing hands the business to its owner, who keeps the receptionist on LobbyStack’s Free plan and pays LobbyStack from then on. The business leaves your console and your addresses, and the owner signs in at app.lobbystack.com. A released business can’t come back under your partner.
  1. Open the business’s More actions menu and choose Release to owner.
  2. Click Release business to confirm.
The owner must have accepted their invitation first. If the business pays for a package through Stripe, cancel its subscription in your Stripe Dashboard before you release it.

Delete a business

Deleting erases the business with its calls, chats, contacts, appointments and settings, and gives up its phone number. Its owner and team lose access, and you can’t undo it.
  1. Open the business’s More actions menu and choose Delete.
  2. Click Delete business to confirm.
If the business pays for a package through Stripe, cancel its subscription in your Stripe Dashboard first. While a phone number is still being set up for the business, you can’t delete it. Try again in a few minutes.

When your tier ends

If your paid tier ends or a tier payment fails, owners and admins see a notice at the top of Businesses. It gives the dates your businesses pause and LobbyStack deletes them. You can release businesses to their owners in the meantime. See What happens when a tier ends.
